About Bio4Climate
Biodiversity for a Livable Climate (Bio4Climate) is a nonprofit organization dedicated to advancing the understanding and restoration of living ecosystems as a critical response to climate change. Through education, scientific outreach, and ecological restoration initiatives, we work to bring nature-based climate solutions into communities and landscapes.
We are a small, entrepreneurial organization with a dedicated team, multiple programs, and several fiscally sponsored projects.
Position Overview
We are seeking an experienced, self-directed Operations & Finance Manager to oversee our financial administration and help strengthen the organization’s operational capacity.
The immediate position is approximately eight hours per week, focused on payroll, bookkeeping, financial reporting, and related administrative responsibilities. Our financial systems, including QuickBooks and ADP, are already established. We need someone who can manage these functions independently, maintain accurate records, meet deadlines, resolve problems, and improve processes when needed.
We are particularly interested in candidates with broader nonprofit management experience and the potential to grow into a senior organizational leadership role as our funding and programs expand. This is an opportunity for someone who enjoys both hands-on operational work and the larger challenges of building and managing an effective nonprofit organization.
The successful candidate will bring sound judgment, initiative, organizational skills, and the ability to work collaboratively with an entrepreneurial Executive Director.
Key Responsibilities
Financial Management & Bookkeeping
- Maintain accurate financial records in QuickBooks, including expense classification, accounts payable, deposits, and reimbursements.
- Reconcile bank and credit card accounts monthly.
- Track restricted grants, designated donations, and fiscally sponsored project funds.
- Prepare regular financial reports, budget-to-actual comparisons, and cash-flow updates for the Executive Director.
- Assist with annual budgeting and coordinate with external accountants on year-end financial reporting and tax filings.
Payroll, Tax Administration & Compliance
- Independently process twice-monthly payroll through ADP.
- Maintain payroll records and coordinate employee onboarding, offboarding, and payroll changes.
- Manage recurring state employer registrations, filings, renewals, and reporting requirements across multiple states, coordinating with ADP as appropriate.
- Monitor compliance deadlines and ensure that changes in state requirements or employee information are reflected in ADP.
- Coordinate the annual insurance audit, gathering payroll and other required documentation.
- Maintain organized records and procedures for payroll and financial compliance.
Banking, Donations & Fiscal Sponsorship
- Monitor deposits, electronic transfers, and financial transactions.
- Reconcile donation records with Bloomerang and coordinate with development staff on timely donor acknowledgments.
- Work with banks, donor-advised funds, and payment processors to facilitate efficient electronic transfers.
- Maintain accurate financial tracking and reporting for multiple fiscally sponsored projects.
Operations & Process Improvement
- Maintain an organized calendar of recurring financial, payroll, tax, and reporting deadlines.
- Identify opportunities to simplify and improve financial and administrative procedures.
- Develop and document practical processes that ensure accuracy, accountability, and continuity.
- Anticipate operational needs, resolve routine problems independently, and bring matters requiring executive decisions to the Executive Director.
Required Qualifications
- Minimum five years of relevant experience in nonprofit bookkeeping, financial administration, or operations management, including independent responsibility for financial functions.
- Strong proficiency with QuickBooks and experience with payroll systems, preferably ADP.
- Working knowledge of nonprofit accounting, including restricted funds, budgeting, and financial reporting.
- Experience coordinating payroll tax administration and compliance requirements.
- Demonstrated ability to work independently, manage deadlines, solve problems, and improve administrative processes.
- Excellent organizational skills, attention to detail, sound judgment, and commitment to confidentiality.
Preferred Qualifications
- Experience managing finances for multiple fiscally sponsored projects.
- Experience with multistate payroll and employer tax administration.
- Familiarity with Bloomerang or similar donor management systems.
- Previous responsibility for broader nonprofit operations, organizational planning, or staff management.
- Experience in a senior management role within a small or growing nonprofit organization.
- Demonstrated ability to translate organizational priorities into practical systems, budgets, and implementation plans.
- Interest in growing into a broader organizational leadership position as resources permit.
The Ideal Candidate
We are looking for someone who takes ownership of their work, anticipates what needs to be done, and follows through without constant direction.
You enjoy keeping systems running smoothly, solving problems, and finding practical ways to make an organization more effective. You understand that a small nonprofit needs reliable systems without unnecessary bureaucracy.
You are comfortable working independently and know when to make a decision, when to ask a question, and when to bring an issue to the Executive Director.
You also bring a broader perspective on nonprofit management. While the initial responsibilities are primarily financial and administrative, you are interested in the possibility of helping shape and manage a growing organization.
Success in this position means that payroll, bookkeeping, reconciliations, tax administration, and recurring financial obligations are handled accurately and on time, with minimal oversight.
Opportunity for Growth
Bio4Climate is working to strengthen its organizational capacity and expand its impact. We envision the possibility of this position growing into a broader operations and organizational leadership role, potentially including staff management, program coordination, and strategic implementation.
Any expansion of responsibilities, hours, or compensation will depend on organizational needs, available funding, and demonstrated performance. We anticipate a review after six months to assess performance, responsibilities, and opportunities for growth.
To Apply
Please submit a resume and brief cover letter describing your experience with nonprofit financial administration, payroll, and independent management of financial operations to careers@bio4climate.org. Deadline: Monday, November 9.
We are particularly interested in candidates who can share examples of administrative processes they have improved, organizational challenges they have helped solve, and experience managing finances for fiscally sponsored projects.
Bio4Climate is an equal opportunity employer and welcomes applicants from diverse backgrounds.
